Dear Participant,
Welcome to Accra, Ghana!!
The AAAE conference will be held at the La Palm Royal Beach Hotel -
Homowo Conference Centre.
Accommodation
Participants were requested to make online hotel booking to any of the
following Hotels. In case you haven’t done so, please visit their websites
and make your booking.
The association will be responsible for settling accommodation charges
only for the supported participants. This has been communicated through
invitation letters. Other participants are expected to make arrangements
for paying their accommodation and meal expenses during their stay in
Ghana. Extras such as laundry and telephone bills will be borne by the
participants, even for the supported participants. Participants MUST
therefore ensure that they have checked their bills, and settled all
charges for extras, before checking out.
Transportation
Shuttle buses will be available to transport participants from their
respective hotels to the Conference Centre on a daily basis from Monday,
20th August – Wednesday, 22nd August 2007 as
follows:
Monday, August 20, 2007: 7.30am and 9.30 pm (after reception dinner)
Tuesday, March 27, 2007: 7.30 am and 6.00pm (after field trip)
Wednesday, March 28, 2007: 7.30 am and 10.00pm (after conference
dinner)
In case of any adjustment, it will be communicated to you during the
plenary sessions
Claims and Reimbursements
In case you were considered for support to attend the conference (and
were notified by letter), but you have made your travel arrangements,
carry the relevant receipts to enable you claim for refund. A desk will be
opened in the conference Secretariat, where you will present your claims.
Claims of amounts below $500 will be reimbursed in cash. Any amounts
above this will be reimbursed by check or wire transfer. Reimbursement
claims for ground transportation for the fully sponsored participants will
be done by the Association upon verification of the claim.
Travel
Please present your air ticket for reconfirmation at the travel desk in
the Conference secretariat office at the beginning of the lunch break on
Monday, 20th August 2007. You should also present any query
regarding travel at this desk.
Insurance
Please be advised that the Association does not provide
travel, medical or any other form of insurance. An arrangement for
personal insurance is therefore recommended before traveling.
Workshop documentation and name badges
A registration desk will be open at La Palm Beach Hotel’s venue for the
conference on Sunday the 19th August 2007 between 09.00 am and
9.00 pm. Delegates are encouraged to register during this time. However, a
registration desk will also be available at the conference venue for late
arrivals from 7.30 am to 8.30am on Monday 20th August 2007
before the ‘Opening Session’. During registration you will be presented
with conference documentation and name badges. All queries can be
presented to staff at this desk.
Speakers and Presenters
On arrival at the conference, all speakers and presenters, who shall
not have forwarded to the organizing committee/secretariat their
PowerPoint and paper presentations in advance, should make arrangements
to, do so during registration on Sunday 19th or early on Monday
August 20th. All presentations should be loaded one day
before the actual presentation is made. Staff at the registration
desk will direct you to the projection room where you will be assisted to
upload your presentation. All presenters should report to the plenary
hall or the respective breakout room, at least 10 minutes prior to the
start of the sessions to meet with the session Chair and Rapporteur, and
to meet with audiovisual technicians with regard to their presentations.
If you wish to revise your presentation, please report this to the
registration desk and you will be assisted.
To ensure that everything goes according to the programme, presenters
will only have 15mins as scheduled. They are therefore advised to make
their presentations in about 10-12mins to allow for discussions.
Workshop secretariat
The secretariat manned by Association staff is set up to ensure that
participants have a pleasant and professionally enriching stay during the
conference. The Secretariat will be located in proximity to the main
plenary hall to offer assistance in whichever way possible. However,
cooperation from all the conference delegates is highly called for in
order to make the conference a success. Particularly, participants are
encouraged to use computers in their respective hotels’ business centres
for Internet and other purposes as the Secretariat computers will entirely
be for facilitating conference activities.
Out-of-pocket allowance
A $30 daily subsistence allowance for the conference days only will be
provided to supported participants for dinner and incidental costs such as
telephone, email, laundry, bar charges, etc. Non-supported participants
will not be eligible to receive this allowance.
Meals/Bar
Tea and coffees, and buffet lunch with one soft drink will be served
from August 20-22, 2007 at the times indicated on the Conference programme.
However, participants will be responsible for their dinner costs at their
respective hotels, as well as drinks purchased at the bar or in their
rooms.
Field Visit
A field visit is planned on Tuesday, 21 August 2007 between 1530 and
1730. Interested participants are encouraged to inform the secretariat
during registration. The cost of the field trip will be communicated by
then since arrangements are not yet complete. However, note that
consideration will be first come, first served basis depending on the
capacity of the available vehicles. We hope you will take this grand
opportunity to familiarize yourself with Ghana.
Reception & Conference Dinner
A reception dinner is planned for Monday 20th, 2007 from
7.00pm at a venue to be announced during the meeting. A conference dinner
will also be offered on Wednesday 22nd between 7.00pm and
9.00pm.
Weather
Ghana is a warm country owing to its location. Its humid climate has an
annual mean temperature between 26°C and 32°C. To the south and southwest,
the annual mean rainfall ranges from 1,250 millimeters 2,150 millimeters
with four separate seasons. Heavy rains fall from about April through late
June. Showers are expected during this month and we encourage participants
to carry with them suitable clothing.
Malaria and Yellow Fever
A valid international yellow fever vaccination certificate is required
as proof of vaccination and sometimes, when there is a cholera outbreak; a
cholera shot is also required. Malaria is prevalent and it is advisable to
take anti-malaria medication. You are advised to consult your doctor well
in advance of your visit so that you may begin the usual malaria
treatment.
Special Dietary & Health Needs
Please let us know if you have any special needs. Should there be a
need to visit a hospital; the conference secretariat should be in a
position to provide adequate information about where such service could be
sought.
Airport tax
Airport tax of $20 is levied on all visitors leaving Kotoka
International Airport. This amount is embodied within ticket price.

About Ghana
Ghana covers an area of 238,540 sq k, with a population of 19.7
million. The main religion is Christianity comprising 60% while
Muslim (15%), traditional African beliefs (25%) are also found.
About Accra
Accra is the capital of Ghana. The main entry to Accra is Kotoka
International Airport, which is about 20 minutes drive into city centre.
Accra being the largest city in Ghana serves as an administrative,
communication, and economic center. It is located at 5°30' North, 0°10'
West (5.5, -0.1667) along the coast of Ghana. By the year 2005, it
had a population of 1,970,400. The main economic activities revolve
around financial and government services, communications, construction,
transportation and fishing.
Within Accra you will find the National Museums of Ghana, the Ghana
Academy of Arts and Sciences, the National Archives of Ghana, and Ghana's
central library. Also of significance is the OSU castle or Christianborg,
which is the seat of government. The Kwame Nkrumah Memorial is located in
downtown Accra. We hope you will take some time to learn and enjoy your
stay in this coastal city.
Use of cameras
While you are encouraged to use your camera throughout your stay in
Ghana, there are a few do's and don'ts in this area. Where you are in
doubt, consult your hotel information desk.
Languages:
English is the official language. However, you will hear other
dialects such as Ga (gah), Ewe (Evvay), Twi (chewee), and the Fanti.
